We are looking for a Service Parts Coordinator who will work as a liaison between customer service, supply chain, and shipping, ensuring effective communication and hand-offs between departments in the fulfillment of aftermarket parts orders. In addition, other general tasks assisting the supply chain team. In addition, the Service Parts Coordinator will be responsible for other general tasks assisting the supply chain team.

Essential Competencies:

  • Coordinate all service parts communication of incoming orders between customer service, supply chain, operations, and any other applicable departments.
  • Process all service part orders and distribute to shipping department.
  • Check stock levels, and consult with purchasing on material availability.
  • Coordinate communication of tracking information needed by other departments.
  • Upload all pertinent documentation within Integra for document control.
  • Ensure timely internal response to operational issues impacting customer expectations
  • Process and analyze parts reports weekly. (Past due, on time shipment, inventory)
  • Assist purchasing team with the daily tasks (tracking purchase orders, debit memos, back charges)
  • Maintain shared AMS order tracker with order and shipment information for each project.

Work with AMS and/or contractors for items that have not shipped.

Requires the ability to visually recognize parts with out the HPx P/N.

  • WM Control Tower & Retail Link - Communicate with shipping when orders need to be submitted to Control Tower/Retail Link for accurate shipping.

Work with purchasing on required parts. Keep track of ship shorts.

Assist with inventory transfer process. Communication/data corresponded with: Warehouse, Purchasing, Shipping and Finance.

  • Work with Finance to process invoice credits for items that have been shorted for an extended time and AMS was able to source them elsewhere.

Minimum Quantifiable Competencies:

  • High School Diploma or GED equivalent Required

Preferred Competencies:

  • Bachelor's Degree Preferred
  • 2-3 years of prior experience in order processing and/or customer service Preferred

Strengths needed for this role: (Functional Skills)

  • Familiarity with Microsoft Suite of software
  • Experience within an ERP system required
